SPAGHETTI DINNER AND SILENT AUCTION PLANNING MEETING NOTES OCTOBER 2, 2007

Sabrina Posey, PTO President called the meeting to order at approximately 5:50pm.

The date of the event was tentatively set for either November 29th or December 6th, contingent upon checking with Mr. Jones to determine whether those nights are fine. It was discussed that we should try to get someone to come in that night to help draw parents and students to the event. There were concerns that without another incentive to draw parents in that the attendance may be down. Some of the suggestions were Mayor Dean, a Titans player or a coach from a local university to talk to students about the importance of education, scholarships etc. Sabrina said she would call the Titans.

Tempra gave an update regarding calls made to restaurants for donations for the dinner. Many restaurants are now only donating to relief funds, some restaurants wanted her to call back in a week and some restaurants were already committed for the next couple of months to other events. Sabrina went over the list of donors and what they donated from the dinner last year. Sabrina also gave us the financial numbers from last year. We spent $491 on supplies and made a profit of $192.95. It was discussed the importance of receiving donations and having a good turn out to make a better profit. The decision was also made to pre-sell tickets again to reduce the amount of money being collected on the night of the event and also to have an estimate head count and then plan for extras. Tempra would do some more follow up regarding donations for the dinner and report back to the group.

The silent auction was discussed and Sabrina had a list of several categories and volunteers are needed to make calls to businesses in those categories for donations for the silent auction. The following are categories where individuals have already volunteered:

Arts and Restaurants – Shannon Department stores – Debbie Eggleston

Sports – Marco Spa – Gillian

Book Manufactures – Mamie Martin

Once the date of the event is finalized the donation letter will be completed that can be provided to businesses as they donate items for the auction. A spreadsheet of the items donated will also be kept to assist in setting the initial bid and also as a record for future auctions.

The meeting was adjourned at 7:00 p.m.
