PLANNING MEETING

MEETING MINUTES
Sabrina Posey called meeting to order at approximately 5:50pm.
In attendance: Wade Jones, Sabrina Posey, Gillian Kotun, Alfredda Conley, Mamie Martin, Ukela Alred, Allrice Alred, Debra Eggleton, Odilva Bistamante, Janine Berryhill, Kenya Lanier, Becky Wilson, Monie Sloan, Angela Guthrie, Therea Barrow, Kyle Alexander, Marco Rivers, Tempra Mosley and Sonya Hopkins. There were others in attendance that did not sign the sign-in sheet. Their names are unknown.
Sabrina asked everyone present to sign the sign-in sheet.
Sabrina introduced the members of the board.
TREASURER’S REPORT
Alfredda Conley gave treasurers report. She just received the records/information from last year’s treasurer today, so unable to give full report. Have about $750 in bank and approx $450 to deposit.
PRINCIPAL’S REPORT
Mr. Jones reported over 300 students this year. This is up from last year. Mr. Jones indicated the following needs/wishes so far this year though he pointed out that he hasn’t heard from everyone:
J Marquee
J Sound System for auditorium
J Art Supplies-whole school uses supplies and Mrs. Driver would like to purchase new material for 7th and 8th graders.
J Spanish - Mrs. Sloan is in need of new materials for classroom
J Athletics - Mrs. Sloan/Athletic Director said that concessions would pay for athletic needs.
J PE - Mrs. Sloan/Athletic Director said PE supplies are needed but did not elaborate.
J Mrs. Cook/8th grade Language - needs field trip chaperones. Has many field trips planned this year. Her first trip is October 26th.
J Concession Stand Operations - Mrs. Sloan needs approximately two parents to help with concessions during basketball season. She also needs a freezer.
J Athletics Banquet - PTO has helped in previous years to pay for coaches and student athlete’s meals and trophies. Not sure of the cost.
J Mrs. Taylor - 8th grade Science - PTO has funded prizes for science fair in the past; would like for us to do so again. Also would like goggles for the lab.
J Sabrina added that Mrs. Verdone/Band would like help with the Boxtops and also a new podium. Mr. Jones added that Mrs. Verdone is also planning a couple of fundraisers herself. Maybe a fruit sale and something else.
J After the meeting, Mr. Jones told me that he would like $150-$200 to fund school uniforms they keep on hand at school to use when needed. Would also welcome clothing donations from parents where children have outgrown their clothing or new clothing.
PTO GOALS FOR 2007-2008 SCHOOL YEAR
J Sabrina Posey reported that Mrs. Driver made a thermometer type of tracker to keep up with fundraising. It is located next to the bulletin board in the main lobby. Since the amount the PTO would like to raise hadn’t been determined, she had Mrs. Driver place the goal at $10,000.
J Many suggestions for fundraisers and school events were suggested and discussed. Sabrina explained the need for each activity to have a chairperson who will coordinate the event and work with volunteers to make it happen. After discussion and input from several members, including Mr. Jones, it was determined that we’ll work towards the following activities/fundraisers. Chairpersons volunteered for almost all events. We ran out of time before everything was covered. We will pick it up during the next meeting.
o Pet Coupon Book - Jason Sloan explained the coupon book. RP would get $10 from each book and $2 would go to Humane Association. He gave out several 2006-2007 books to PTO members. This fundraiser was not chosen by PTO for this year but Mr. Jones indicated it might be used by individual groups within the school.
o Coffee and Doughnuts morning sale - Tempra Mosely suggested sell before school each morning for a week down on street. Sell not only to school parents but others in area. Said there is potential for $100 per morning. Definite decision not made. Will carry over to next meeting.
o Valentine’s Day - PTO will do once again but can pick this up at a later date. Sabrina volunteered to Chair it since she did last year and is familiar with it but would welcome help.
o Membership Drive - Tempra Mosley/Chair and Sabrina Posey
o Volunteer Chairperson - Tempra Mosley (Sabrina noted that she has an excel spreadsheet of all PTO members that lists the areas from the membership form they are willing to help with. Once we complete the membership drive, we should have a good pool of volunteers to easily pull from).
o Fall/Winter Event/December 18

o Spring Band Concert/Date TBD - will do some kind of food out of the concession stand. Will cover later.
o Battle of the Ballers - Tempra Mosley will find volunteer referees.
o Career Day - Becky Wilson
o Athletic Banquet/Awards Banquet will be held towards the end of the school year. We did not have time to discuss a chairperson but thought is that school athletics and NHS will plan with our assistance as needed.
